Living The Dream is a fast-growing brokerage in luxury real estate and hospitality brand specializing in trophy estates, master-leased properties, high-end rentals & property management. We are seeking a dedicated, highly organized, and resourceful Executive Real Estate Assistant to directly support the CEO in overseeing all aspects of the business. This is not just an administrative role — it’s a hands-on position that blends executive assistance, property management, operations, and client relations.
🔑 Key Responsibilities
Direct Support to CEO
Act as the CEO’s right hand — managing their calendar, emails, calls, and daily priorities.
Prepare and organize contracts, addenda, settlement agreements, and legal correspondence.
Handle confidential information with discretion and professionalism.
Draft and proofread professional communications on behalf of the CEO (emails, letters, proposals).
Track and follow up on action items, ensuring deadlines are met across multiple projects.
Property & Tenant Operations
Assist with day-to-day management of a portfolio of luxury estates in Beverly Hills, Malibu, Trousdale, and beyond.
Coordinate tenant move-ins/outs, furniture deliveries, and vendor schedules.
Schedule and supervise vendors (pool, gardeners, HVAC, security, cleaners, etc.).
Ensure properties are maintained at a luxury-standard level — fully furnished, stocked, and guest-ready.
Track maintenance issues and follow through until resolution.
Leasing & Marketing
Create, update, and manage property listings across MLS, Zillow, and luxury rental platforms.
Prepare marketing materials (descriptions, photos, social media coordination).
Coordinate property showings and keep records of leads and client communications.
Support negotiations, lease drafting, and deal follow-through.
Financial & Administrative Support
Maintain rent rolls, payment schedules, and reimbursement tracking.
Assist in calculating pro-rated rents, abatement periods, and rent escalations.
Track invoices, legal fees, and vendor payments.
Support investor updates, business financial reporting, and presentation prep.
Business Development & Special Projects
Research off-market opportunities, comps, and potential acquisitions.
Assist with pitch decks, investor presentations, and fundraising materials.
Help organize filming/event packages and coordinate with production companies.
Support the CEO on brand-building projects (social media, behind-the-scenes content, TikTok/Instagram ideas).
✅ Qualifications
2+ years of experience in real estate, property management, or executive assistance.
Strong organizational skills; thrives in a fast-paced, multi-tasking environment.
Excellent written and verbal communication; polished and professional.
Tech-savvy: Google Workspace, Microsoft Office, MLS, Zillow, Guesty, CRMs.
Comfortable with numbers: rent schedules, pro-rations, simple financial modeling.
Resourceful, proactive, and solution-oriented with a “no task too big or small” attitude.
Must have discretion when handling confidential matters.
Ideally, local to Beverly Hills / Malibu with knowledge of the luxury market.
