Project Coordinator / Assistant


At Gamble + Design, we are a full-service interior architecture and design firm based in San Francisco, with projects throughout the Bay Area and California. For over 20 years, our team has specialized in high-end residential design, working closely with clients, architects, contractors, and artisans to bring sophisticated, livable homes to life.

Our projects range from full-scale renovations and new construction to custom kitchens, furniture, and lighting design. We pride ourselves on creating homes that reflect both the heritage of the site and the individuality of the homeowner—taking each project from stud to style.

We’re looking for a Project Coordinator / Design Assistant who thrives in a fast-paced setting, communicates with ease, and is excited to grow within a dynamic, creative studio.


Job Responsibilities

·   Collaborate with the design team to fully understand and execute approved designs.

·   Organize and process purchase orders within our project management system.

·   Coordinate with vendors, shipping companies, contractors, and fabricators throughout the project process.

·   Schedule orders and track progress for the design team.

·   Provide weekly project updates to clients, ensuring clear and proactive communication.

·   Communicate directly with high-end residential clients regarding progress, timelines, and deliverables.

·   Oversee construction administration by managing communications with contractors and fabricators.

·   Manage claims with freight carriers and manufacturers for damaged items.

·   Oversee installation processes in client homes, coordinating with warehouses, delivery companies, and installers.

·   Address client concerns before, during, and after deliveries/installs.

·   Manage warranty issues and post-installation follow-ups.

·   Create care and maintenance binders for clients after installation.

·   Serve as Gamble + Design’s primary client service point of contact.

·   Attend design presentations to take notes and pull samples as needed

·   Assist with minor FF&E sourcing.

·   Administrative & Financial Responsibilities

·   Manage and maintain calendars, schedules, and meeting coordination.

·   Interface with bookkeeper on vendor payments, client billing, and expense tracking.

·   Maintain extreme accuracy when working with budgets, invoices, and project costs.

·   Proactively follow up with principals regarding deadlines, approvals, and vendor payments.


Job Requirements

·   Past experience working in an interior design, architecture, or construction company required.

·   Excellent communication skills, especially with high-end residential interior design clients.

·   Strong organizational skills with exceptional attention to detail and accuracy.

·   Calm and effective problem-solving skills.

·   Ability to manage information across multiple systems.

·   Proficiency with standard office software; knowledge of Studio Designer and Excell required.

·   Self-motivated, proactive, and able to work independently while supporting the team.

·   Reliable transportation.

·   Ability to attend construction meetings, take notes, and follow up with team members.


General Office Support

·   Manage phones and office calendar

·   Maintain a welcoming studio environment (e.g., music, flowers from the Flower Mart for displays/photoshoots)
