Your Team
Housing Preservation & Development Technology (HPD Tech) is the IT division within HPD. The Office of HPD Tech leads the agency’s effort to transform HPD through technology, promoting productivity, eliminating manual processing, reducing costs, and increasing the pace of work. HPD Tech works to enhance the effectiveness of business processes by leveraging core applications for seamless execution. HPD Tech empowers decision makers with access to quality (complete and accurate) information to anticipate and proactively react to building, neighborhood, and market conditions.
The Office of HPDTech is composed of 7 units: CIO (Chief Information Officer), CTO (Chief Technology Officer), CPO (Chief Product Officer), Budget, Enterprise Architecture, Planning & Compliance, and Information Security.
Your Impact
As a Project Coordinator for the Division of HPD Tech, you will assist with technology initiatives supporting the HPD Office.
Your Role
In this role, you will work closely with project managers, technical teams, and business stakeholders to support the coordination of technology solutions that product verticals in fulfilling their mission objectives. This position focuses on assisting with project planning, organizing resources, tracking progress, and maintaining documentation in alignment with the agency's standards and policies. You will play a key supporting role in ensuring that technology projects remain organized and on schedule while collaborating with teams across the organization. Additionally, you will contribute to PMO Intake and Governance processes by facilitating the intake of new project requests, ensuring alignment with strategic priorities, and supporting governance activities such as compliance reviews, reporting, and adherence to project lifecycle methodologies
Your Responsibilities
Key responsibilities include but are not limited to the following:
- Project Coordination & Support
- Assist with the organization and tracking of project activities, timelines, and deliverables.
- Support project managers by helping translate business needs into clear, trackable technical tasks.
- Maintain project schedules, task lists, and resource tracking tools to keep teams aligned.
- Team & Stakeholder Collaboration
- Coordinate meetings, document discussions, and follow up on action items with technical and business teams.
- Support project leads in facilitating communication between technical teams, business stakeholders, and senior leadership.
- Assist with gathering feedback, preparing reports, and monitoring project progress.
- Compliance & Risk Tracking
- Help maintain accurate project documentation, status reports, and project plans.
- Support project leads in identifying risks and tracking mitigation efforts.
- Assist with the preparation of contingency plans, under the guidance of project managers.
- Technical Coordination (Non-Hands-On)
- Facilitate communication between technical teams and functional stakeholders to ensure alignment of technical solutions with business objectives.
- Assist with coordinating project activities related to system development, testing, and deployment without direct technical implementation responsibilities.
- Support Governance & Process Improvement
- Help project managers maintain alignment with organizational standards, reporting expectations, and governance processes.
- Assist with evaluating project management tools and recommending improvements to project tracking and reporting methods.
- Technical Writing
- Contracts, Scope of Services (SOS), Statements of Work (SOW) - Developing detailed scope of services and statements of work that defined project objectives
- Technical Documentation – Creating/maintaining various technical documents including project specifications, user manuals, process guides, and technical reports
- Meeting Minutes – Documenting key discussions, decisions and action items to ensure clear communication and accountability
- Experience with coordinating IT projects or supporting project managers in an oversight capacity.
- Experience with facilitating IT business process improvements across technical and functional teams.
- General understanding of software development and coding concepts
- Demonstrate ability to support project teams by applying knowledge of project management life-cycle methodologies (particularly iterative or hybrid development approaches).
- Experience assisting with project scheduling, resource planning, and providing administrative support for project budgeting efforts.
- Proficiency with MS Project, MS Office, and related tools for project tracking, meeting coordination, and documentation.
- Strong organizational skills with the ability to coordinate tasks, track project progress, and maintain accurate documentation.
- Excellent communication and interpersonal skills to assist in facilitating collaboration across technical and business teams.
- Detail-oriented with good judgment and the ability to follow established processes to support project success.
- Ability to assist with driving project tasks to completion by supporting project leads and ensuring follow-up on outstanding items.
- Familiarity with basic concepts of databases (e.g., Oracle)
- General awareness of Web based technology to help align project activities, with support from technical staff.
- Interest in pursuing project management best practices; familiarity with or willingness to work toward a PMP certification or equivalent is preferred.
Minimum Qualifications
- A baccalaureate degree from an accredited college and four years of satisfactory full-time experience related to the area(s) required by the particular position; or,
- Education and/or experience which is equivalent to "1" above.
