Toshiba America Energy Systems Corporation (TAES) provides energy industry solutions – new equipment, retrofits, maintenance, outage planning and more – for current and future power generation needs in the Americas, including thermal, hydro and nuclear power plants.

Position Summary

We are seeking a Project Analyst to work out of our West Allis, WI office (hybrid option available). The Project Analyst will support the Project Management and Accounting Departments in project cost planning, monitoring and control. This position will analyze financial aspects of projects including budgeting, cost reporting, analysis, reconciliation of charges, invoicing, administration of change orders and tracking of financial milestones. This position will work closely with Project Managers, Site Managers, and Project Accountant with results of analysis. Additionally, the Project Analyst will supervise designated Project Administrators, providing leadership, guidance and coaching to ensure they are meeting the responsibilities of their positions.

Essential Duties

  • Update project budgets and notify Accounting of completed milestones that allow invoicing to begin, based on the defined scope and deliverables. Communicate percentage of completion to Accounting. Prepare a detailed outline for new projects using proposals, cost workbooks, and customer contracts or purchase orders, and review it with the Project Manager prior to project setup.
  • Create and maintain project control systems and software including setting up and maintaining project data in ERP system (Oracle).
  • Prepare purchase order requisitions using vendor quotes and project setup information.
  • Perform calculations for time and materials charges and gather supporting documentation as needed for review by the Project Manager and Accounting.
  • Create and maintain financial summaries for project invoicing.
  • Complete post-project financial summaries and compare estimated costs to actual costs.
  • Adjust project cost and revenue budgets as changes in scope, estimated vs. actual performance and month-end adjustments dictate.
  • Assess risks and make recommendations for risk mitigation.
  • Attend project meetings and discussions with the Project Management Team, Accounting, and external clients as needed.
  • Gather and analyze information from internal and external sources and prepare requested reports which include any or all of the following: summary of status, schedule of activities, action items, financials, etc.
  • Conduct ERP system training for new project managers and administrators.
  • May serve in a project management role for smaller short duration projects.
  • May review and code vendor invoices, verifying that charges are correct and that they are being applied to the proper project and task lines.
  • May prompt internal departments to close open Discreet Jobs for work that is known to be complete. Update project task line cost budgets when all known charges have been applied to them.
  • May serve as department representative on IT initiatives related to ERP software changes or enhancements, including testing of new solutions prior to deployment.

Education and Required Experience

  • Bachelor Degree in Engineering, Accounting or Business; specialization in Finance, Cost Control or Project Management related training highly desired.
  • Associate Degree with 8 years of related experience may be considered in lieu of Bachelor Degree.
  • Minimum of 5 years experience in project cost control and/or estimating and analysis.
  • Strong organizational skills with the ability to track, consolidate, and analyze large volumes of data.
  • Demonstrate analytical and project management capabilities, with high level of attention to detail, accuracy, analytic consistency and data integrity.
  • Proficient in mathematical analysis and statistical interpretation, with the ability to use data outputs to validate findings and support recommendations in report format.
  • Excellent verbal and written communication skills, with the ability to interact professionally, both internally and externally, across diverse teams including executives, managers, planners, engineers, buyers, sales, and field service personnel.
  • Ability to influence without direct authority.
  • Expert judgment in decision-making, prioritization, and problem-solving, with the ability to troubleshoot and resolve issues efficiently.
  • Advanced computer skills to prepare statistical data and reports, particularly in Microsoft Office applications (Windows, Outlook, Word, Excel, Access); experience with Oracle EBS is preferred.
  • Advanced with MS Excel, including the use of pivot tables and power query to create reports that summarize and analyze data. Ability to research and implement advanced Excel features for enhanced reporting.
  • Good project background preferred, technically strong in project cost analysis, planning, scheduling and reporting.
  • Self-motivated, proactive, and resourceful with the ability to work independently and with minimal supervision.
  • Demonstrates initiative and ability to work well in a fast-paced environment.

The employee must be able to lift up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include Close vision, Distance vision and Ability to adjust focus. While performing the duties of this Job, the employee is regularly required to sit and talk and hear. The employee is frequently required to walk. The employee is occasionally required to stand; use hands to finger, handle, or feel and reach with hands and arms.

Work Environment

The majority of this work takes place in an office and the work environment is that of a typical office environment in a manufacturing setting where noise levels are usually moderate. Frequently the employee will interact with personnel in the plant where he/she may be exposed to higher noise levels.
