A distinguished, multi-state law firm headquartered in New York City is seeking a sharp, experienced Legal Executive Assistant to join its top-ranked transportation regulatory and administrative law practice. This role is a temp-to-hire opportunity supporting senior leadership and legal professionals who operate at the intersection of law, policy, infrastructure, and international transit.
This position will play a critical role in managing complex executive schedules, coordinating legal operations, and handling robust domestic and international travel arrangements—often on short notice. The ideal candidate will have public sector legal experience, especially in New York State government, and a strong understanding of local, state, and administrative structures and civics.
Key Responsibilities:
- Manage high-volume scheduling and calendar coordination for senior attorneys.
- Plan and execute complex travel logistics, including international travel, multi-leg itineraries, visas, and compliance with government protocols.
- Draft, proof, and prepare correspondence, reports, and legal documents.
- Serve as the primary liaison for interdepartmental coordination and external stakeholders.
- Maintain organized legal files and databases, both electronically and in hard copy.
- Assist with project tracking and the preparation of presentations, memos, and internal communications.
- Provide reliable backup administrative support to multiple attorneys as needed.
- Coordinate logistics for meetings, hearings, and public agency interactions.
- Support executive needs with discretion, confidentiality, and strategic judgment.
- Be available for work outside traditional business hours, including evenings and weekends, as required.
Required Qualifications:
- Bachelor’s Degree preferred.
- Minimum 3 years of experience as an executive assistant in a legal or public sector environment.
- Demonstrated familiarity with New York State and municipal government structures, agencies, and administrative procedures.
- Proven ability to coordinate international and high-level domestic travel.
- Advanced proficiency in Microsoft Office (especially Outlook, Excel, and PowerPoint).
- Exceptional time management, organizational, and multi-tasking skills.
- Clear and professional written and verbal communication.
Highly Desirable:
- Legal administrative experience in a public agency, court system, or state/local office.
- Paralegal training or legal assistant certification.
- Experience interacting with government counsel, regulatory bodies, or transportation authorities.
- Flexibility for significant overtime, including nights and weekends.
