A boutique investment firm is seeking a polished and proactive Executive Assistant & Office Manager to support three Managing Partners and ensure smooth day-to-day office operations. This is a hybrid, full-time position best suited for a detail-oriented professional who thrives in a small team environment and has experience supporting senior leadership in the finance sector.
Compensation: $100–110K base + discretionary bonus
Responsibilities:
Provide high-level administrative support to three Managing Partners, including heavy calendar management, domestic travel planning, and meeting coordination
Process expense reports and vendor invoices with accuracy and timeliness
Maintain and update Salesforce CRM with contact details; run reports and prepare materials for meetings
Coordinate internal meetings, team offsites, and occasional investor events, managing logistics, catering, and materials
Oversee light office management duties such as restocking supplies, managing vendors, and maintaining kitchen/common areas
Partner with HR and IT to support onboarding and offboarding logistics
Handle confidential information with discretion and professionalism
Support office culture and team engagement through gift coordination, employee milestones, and occasional event planning
Take on ad hoc requests and small projects as needed with a proactive, solutions-oriented approach
Qualifications:
4–10 years of Executive Assistant experience, ideally within investment management or financial services (buy-side preferred)
Prior experience in a small or mid-sized office environment required
Proficiency with Salesforce for basic updates and reporting is essential
Strong organizational, communication, and multitasking skills
Confident, discreet, and comfortable working closely with executive leadership
Bachelor’s degree preferred
