NATURE OF WORK

Performs a variety of complex administrative support duties for the Clerk of Superior Court; may perform specialized technical functions within a work unit; serves as a lead worker and assists the supervisor with scheduling, assigning and reviewing work, and staff training and evaluation.

(Illustrative Only) Performs a variety of complex tasks in the office of the Clerk of Superior Court; interprets Superior Court procedures, and applies training to resolve complex issues in accordance with all quality standards and policies; may perform specialized functions within a work unit, including processing appeals, post-conviction relief, passports, and mental health and adoption case files and documents; coordinates the delivery of Superior Court services; manages special assignments and distinct legal system responsibilities; supports courtroom-related services and works at the public counter; interprets policies and procedures for file creation and maintenance, data entry, issuing and accepting documents and forms, accepting and receipting monies and other specific Court duties and assignments; interprets complex issues; resolves customer service issues, researches technical inquiries, and resolves complaints within scope of authority; resolves support staff questions and provides operational and informational responses; oversees operations and performs specialized work assignments; accepts paperwork for new and existing case files; enters data into the recording system; reviews the collection, processing, and recording of funds received, and related routine accounting tasks; oversees the creation and maintenance of case files and folders; accepts and verifies records and documents; checks for clerical and mathematical accuracy and completeness; processes for further action; issues court processes/paperwork as needed; searches files, records and other data sources for information and responds with the data needed; performs records maintenance tasks; proofreads and edits documents; sorts indexes, and files materials according to established procedures; checks records and documents for completeness and accuracy for processing and/or further action; files court documents and retrieves files for use by authorized personnel; records, judgments, rules, orders, and other judicial proceedings of the court; cross trains and trains court staff in a wide variety of clerical and administrative duties; performs related duties as required or assigned.

High School Education or GED Certificate; AND three years of experience as a Court Services Assistant, preferably with Yuma County Superior Court; OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. ADDITIONAL REQUIREMENTS: This classification requires the applicant to pass criminal background checks; a valid Arizona State Driver's License may be required; Arizona Committee on Judicial Education and Training (COJET) yearly accreditation is required. PHYSICAL DEMANDS AND WORKING ENVIRONMENT: Work is performed in a standard office environment and Court facilities.

Knowledge of: Applicable State of Arizona statutes, Administrative Office of the Courts (AOC) policies and procedures, Federal rules and requirements, and specialized court software applications; Yuma County and Superior Court policies and procedures; legal terminology and court functions, rules, policies and procedures; laws and regulations governing the release of information from court records; principles of record keeping, case files and records management; safe work practices and safety precautions in court environments; general office equipment and standard computer software applications.

Skills in: Coordinating and overseeing court programs and services; researching, interpreting and applying court standards and procedures, applicable state rules and regulations, and County policies and procedures; using initiative and independent judgment within established procedural guidelines; assessing and prioritizing multiple tasks, projects and demands; reviewing documents for accuracy and compliance with statues, rules and requirements; working under pressure in a dynamic environment with changing demands and priorities; maintaining accurate records; preparing, filing, and distributing various types of legal documents; establishing and maintaining effective working relationships with co-workers and the general public; operating a personal computer utilizing a variety of business software; communicating effectively verbally and in writing.
