The Chief of Staff is the organizational anchor for the Data Center Development & Construction team. This unique, dynamic role is responsible ensuring the team's day-to-day administrative needs are met seamlessly. You will manage the business of the project delivery group while also providing hands-on support that enables the team to focus on their critical project milestones. This role requires a highly organized, "roll-up-your-sleeves" professional who excels at both high-level process management and detailed administrative execution in a fast-paced environment.

This position reports to the Vice President, Office Operations. It has an in-office schedule and candidates must be based near or willing to relocate to McLean, VA area.

Essential Duties & Responsibilities:

  • Manage and coordinate complex travel arrangements for the Managing Director and other team members, including flights, hotels, and ground transportation.
  • Prepare and submit accurate and timely expense reports on behalf of the team's leadership and other members as required.
  • Assist with the administrative review and coding of project-related invoices to facilitate timely approval and payment.
  • Organize, schedule, and coordinate logistics for internal and external team meetings; responsibilities include sending invitations, reserving conference rooms, and arranging for catering, A/V equipment, and materials.
  • Plan and execute logistics for key team events, workshops, and major project milestone celebrations.
  • Provide general administrative support to the PowerHouse team to ensure smooth daily operations.
  • Manage the agenda, materials, and action items for key internal meetings.
  • Assist the Managing Director in preparing materials for reporting and project updates.
  • Lead ad-hoc projects to support business growth.

Key Competencies:

  • Dual expertise in both business operations/project controls and hands-on administrative support.
  • Expertise in managing complex calendars, booking multi-leg travel, and processing expense reports.
  • Strong understanding of the real estate development and construction lifecycle.
  • Advanced proficiency with construction management software and the Microsoft Office Suite (Outlook, Excel, PowerPoint).
  • A "systems-thinker" with a talent for process optimization combined with an exceptional eye for detail.
  • Outstanding organizational and time-management skills, with a proven ability to manage a wide range of tasks and competing priorities.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach to supporting the team.
  • Ability to roll up the sleeves and get the job done.

Qualifications:

  • 5+ years of relevant experience in a role that combines operations, project coordination, or project controls with significant administrative or executive support duties.
  • Experience in a fast-paced corporate setting is required. Candidates with experience in real estate development, construction, engineering, or a similar fast-paced, project-based industry are strongly encouraged to apply.
  • Demonstrated ability to manage multiple competing priorities and ad-hoc projects.
  • Candidates with a Bachelor's degree in Business, Finance, or Construction are strongly encouraged to apply.
  • Travel and calendar management.
  • Ability to handle sensitive information.
  • Experience working with C-Suite/executive team.
  • Event planning experience.
  • Candidates with knowledge of design and construction processes are strongly encouraged to apply.
