Responsibilities

We are excited to welcome a dedicated and enthusiastic Administrative Assistant to our front office team at Urology at Mercy, a busy and patient-focused Urology practice. This is a wonderful opportunity to be part of a supportive, fast-paced environment where your communication and customer service skills will truly make a difference in the patient experience.

  • Efficiently schedules procedures in accordance to provider preferences
  • Optimizing provider’s surgical schedules
  • Tracks pre-admission testing results and communicates with provider(s) and patient as necessary
  • Calls patients to confirm arrival time and preparations prior to procedures
  • Coordinates procedures with other Mercy surgeons as needed
  • Efficiently provide quotes for procedures, per patient request
  • Understands the verification of benefits process for upcoming procedures
  • Monitors and manages provider schedules to ensure smooth clinic and procedure operations
  • Handles patient registration and verify insurance information
  • Answers and triages incoming phone calls and patient messages for severity/importance
  • Assists with check-in, patient registration, and copay collection, as needed
  • Provides exceptional service and support to patients and visitors
  • Other duties as assigned


Requirements

  • High School Diploma or GED
  • Knowledge of medical office systems and procedural scheduling
  • Minimum one-year surgical scheduling experience preferred
  • Excellent time management skills with the ability to prioritize tasks effectively
  • Strong organizational and time management skills
  • Understanding of basic scheduling system management
  • Strong interpersonal and communication skills, with a service-oriented mindset
  • Proficiency in Microsoft Office and EPIC
  • Works well in a team and maintains a positive attitude
  • Ability to work with high volume while staying detail-oriented
  • Knowledge of basic medical terminology
  • Must have excellent telephone demeanor
